How Propcore uses personal data.

Data our customers control

Data that businesses store in their Propcore workspaces is controlled by those businesses; we process it for them under our Data Processing Agreement. To exercise your rights over that data, contact the business.

What we collect, why, and on what legal basis

Visiting propcore.ai

IP address and browser details, to deliver and protect the site. Legal basis: legitimate interest (Art. 6(1)(f) GDPR). Some images are loaded from Unsplash, which receives your IP address.

Videos

A video on propcore.ai loads from YouTube (Google) only when you press play. YouTube then receives your IP address and browser details and may store cookies in your browser. Legal basis: consent, given by pressing play (Art. 6(1)(a)).

Demo requests

Email address, company name and website, and the channel you came from, to contact you about the demo. Legal basis: consent (Art. 6(1)(a)).

Your Propcore account

Name, email address, password hash, workspaces and roles, and security logs, to provide the Service. Legal basis: contract (Art. 6(1)(b)) and legitimate interest in security (Art. 6(1)(f)).

Product analytics

We use PostHog (EU cloud) to see how the site and the Service are used, to improve them. If you accept analytics cookies, PostHog stores a cookie that recognises your browser across visits and across propcore.ai and its subdomains; legal basis: consent (Art. 6(1)(a)). If you do not, we count visits without cookies: PostHog derives a daily identifier from your IP address and browser and does not keep the IP address; legal basis: legitimate interest (Art. 6(1)(f)). When you are signed in, analytics events are linked to your account (your account ID and email address; in the admin app also your name and the ID and name of the workspace you work in), whether or not you accept cookies. Legal basis: legitimate interest (Art. 6(1)(f)).

Emails to customers

Service emails, under the contract (Art. 6(1)(b)). News about Propcore products, under legitimate interest (Art. 6(1)(f)); every such email has an unsubscribe link.

People we contact about Propcore

Business contact details of people at property developers and agencies, taken from company websites, public registries and professional networks, to offer them Propcore. Legal basis: legitimate interest (Art. 6(1)(f)).

Support and correspondence

What you send us, to reply. Legal basis: contract (Art. 6(1)(b)) or legitimate interest (Art. 6(1)(f)). The support chat on propcore.ai and in the Service runs on Crisp (EU). It receives your messages, the page you write from and, when you are signed in, your name, email address and workspace, and it stores cookies in your browser to keep the conversation.

An email address is required to create an account. Everything else is optional.

We do not make decisions with legal or similarly significant effects on you by automated means alone.

Cookies

Keeps your answer to the cookie banner, for 180 days.

PostHog

Recognises your browser for product analytics. PostHog stores its data in cookies, kept for up to one year, and in your browser’s storage, kept until you reject or clear it. Both are set only after you accept and are removed when you reject.

Crisp

Keeps your support chat conversation (see Support and correspondence).

YouTube

Set by YouTube’s player, only after you press play on a video (see Videos).

You can change your answer at any time: use Cookie settings at the bottom of propcore.ai or in your Propcore account.

Who receives your data

Service providers that process data on our behalf: hosting, website delivery, email delivery, payment processing, product analytics (PostHog, EU cloud), support chat (Crisp, EU) and AI services. YouTube (Google), if you play a video. Authorities where the law requires it.

Transfers outside the EEA

Some service providers are in the United States. Transfers to them rely on the EU–US Data Privacy Framework or the European Commission’s Standard Contractual Clauses. A copy is available from hello@propcore.ai.

How long we keep it

  • Account data: while the account exists, then as long as the law requires.
  • Demo requests: until the request is handled or you ask us to delete it.
  • Analytics, logs and correspondence: as long as needed for their purpose.
  • Outreach contacts: until you object or the contact is no longer relevant.

Your rights

You have the right to access, rectify, erase, restrict and port your data, to object to processing based on legitimate interest and to direct marketing, and to withdraw consent at any time. Write to hello@propcore.ai. You can also complain to a data protection authority; in Cyprus, the Commissioner for Personal Data Protection.
